Artist Relations & Programming Manager

The Savannah Music Festival is seeking a Hospitality Assistant & Volunteer Coordinator. This is a temporary position that reports to the Hospitality Coordinator and works closely with the Artist Relations & Programming Manager and Festival Volunteer Coordinator during the 17-day Festival. The position will require limited remote hours in February 2024; in-person set up and breakdown dates March 25-27 and April 14-15, and festival hours March 29-April 13, 2024.

DUTIES & RESPONSIBILITIES

As assistant to Hospitality Coordinator:

  • Become intimately familiar with Festival schedule and venues
  • With Hospitality Coordinator, purchase, deliver, set up, and load out artist rider hospitality requirements for 8-10 performance and rehearsal venues during the Festival
  • Assist in supervision of catering delivery and pick up at 8-10 venues during the Festival
  • Track expenses and report regularly to Artist Relations & Programming Manager
  • Provide courteous and prompt service to festival artists

As coordinator of Hospitality Volunteers:

  • Review and amend schedule of hospitality volunteers at all venues for the Festival
  • Recruit hospitality volunteers in advance of the Festival
  • Train and supervise hospitality volunteers during the Festival
  • Communicate regularly with hospitality volunteers before, during, and after shifts

KNOWLEDGE & SKILLS

  • Strong verbal and written communication skills, including conflict resolution in high-stress environments
  • Collaborative working style with a hands-on approach to teamwork and managing
  • Positive attitude and proven record of reliability
  • Impeccable attention to detail and ability to manage a large workload over a short period of time
  • Patience, empathy, and ability to work with different personalities
  • Discretion and professionalism
  • Must have the ability to multi-task, troubleshoot, and work under pressure
  • Ability to interact with artists and festival staff professionally and personally
  • Previous experience working in hospitality/catering and volunteer management. Festival hospitality/catering experience a plus
  • Proficient in Google Suite. Familiarity with Airtable a plus
  • Willingness, availability, energy, and stamina to work long hours (often 16+ hours) during 17-day Festival
  • Must have a valid driver’s license and driving experience, own vehicle a plus
