Grant Writer (part-time)

Position Summary

Reporting to the Development Director, the Grant Writer (part-time) is responsible for preparing and producing, in draft and final form, grant proposals and solicitations for funding. The Grant Writer researches and recommends funding opportunities; develops solicitations and proposals for general operating needs, SMF education programs (Musical Explorers, Acoustic Music Seminar and Swing Central Jazz) and capital equipment as appropriate; prepares progress and final reports to funders; and maintains department database and associated records as they relate to SMF’s grant program. Audiences include foundations, corporations, government agencies and private donors/family foundations.

Specific Duties

  • Prepare grant proposals for foundations, corporations, government entities and individual donors, in draft and final form, that make compelling the need for financial support and address identified organizational funding priorities;
  • Work with SMF staff in identifying and gathering information on fundable programs and projects;
  • Maintain an annual grants deadline calendar;
  • Prepare interim and final project and program reports to funding sources on a regular and scheduled basis working with SMF’s CFO and other departments as appropriate to ensure timely and accurate reporting;
  • Research and recommend funding opportunities from a broad range of sources, linking their compatibility with SMF’s funding needs;
  • Conduct preliminary interviews with grantor staff and program managers to assess SMF’s fit within their philanthropic priorities;
  • Work with members of SMF’s Board of Directors and/or Development Committee to identify and contact key decision makers associated with granting organizations;
  • Serve as main point of contact for granting organizations and their representatives;
  • Provide research for grant proposals and reports. This may include review of data collection and surveys of literature from a variety of sources (e.g. SMF staff, program experts, periodicals, directories, census data, etc.);
  • Make recommendations on strategies related to funding proposals;
  • Maintain accurate database records of corporate, foundation, government and individual/family foundation donor files;
  • Communicate regularly with the Development Director and appropriate SMF staff on the status of pending proposals;
  • Prepare reports for Development Director and Development Committee regarding status of grant proposals as they relate to established funding goals;
  • Assume other tasks and responsibilities as assigned by the Development Director.

  • Demonstrated excellent organizational and project management skills with self-initiative to prioritize multiple projects in order to meet individual and department-related deadlines and goals;
  • Remain current with standard policies and procedures;
  • Working knowledge of office practices, procedures and business writing;
  • Plan work efficiently to meet the departmental budgets, goals and objectives;
  • Ability to maintain a high degree of confidentiality.
